General Technical Approach

Our service is hosted within the Azure tenant of Power2Apps, located in Western Germany. We are dedicated to ensuring the security and confidentiality of your documents throughout the conversion process.

1. Document Handling:

   • Processing: Both the source and the encrypted files are used solely for the conversion process.

   • Deletion: All documents, including both the source and the encrypted file, are automatically removed immediately after processing.

   • Data Access: We do not retain access to any converted documents or the data contained within them after the conversion process is complete.

2. Data Controller Responsibility:

   • The type of personal data within the documents processed by the Converter is determined solely by the data controller (you). As a result, we do not have control over the specific personal data contained in the documents.
      

Security

We take security very seriously and have implemented several measures to protect your data:

1. Encryption:

   • We utilize Azure’s state-of-the-art encryption to protect your data both at rest and in transit. This includes various encryption methods, protocols, and algorithms, including double encryption. For more information, please visit Azure's Trusted Cloud Privacy page.

2. Access Control:

   • Our employees do not have access to your data as it is only processed in the working memory. Consequently, we cannot pseudonymize data; this must be done by the data controller before submission, if required.

3. Multi-Factor Authentication:

   • We require multi-factor authentication for accessing our Microsoft tenant to ensure an additional layer of security.

4. Regular Security Testing:

   • We conduct regular simulated attacks and testing by external service providers to identify and mitigate potential vulnerabilities, such as phishing and other IT attacks.

5. Data Integrity:

   • In the event of a physical or technical malfunction of the Azure service, no personal data is stored on the cloud server that could be restored, ensuring the integrity and confidentiality of your information.
      

Data Retention and Deletion

We do not store any personal data beyond the immediate processing period. All documents are removed from our systems immediately after the conversion process, ensuring that no data is retained.

We may update this Privacy Policy from time to time. If we make significant changes, we will notify you of the changes so you can review the changes before you continue to use the service.
